Quick Reference Guides are instructions for using the system.Select the link to download or print the Quick Reference Guide for your role: Service Provider organizations:In order to see more detailed information, program reports, and coverage mapping, and for your program information to be available, your organization must be registered in the YSM system. Identify the individual in your organization who will be the “YSM Supervisor.” The YSM Supervisor is responsible for setting up your organization in the system, and assigning individuals (“YSM Program Managers”) to enter program information. The YSM Supervisor is responsible for ensuring that your organization's data is accurate and up to date. He/she is probably senior program staff in your organization. YSM Supervisors should download the Quick Reference Guide for YSM Supervisors for step-by-step instructions. YSM Supervisor registers the organization in YSM and determines which staff will complete information on each program. He or she will register, provide organizational information, and set up each child/youth program offered in the system (name of program, classification of program, and identify a YSM program manager to complete the profile –then let the manager know they have been assigned).
YSM Program Managers complete information about each program. Each program will need to be entered separately, with information on services, eligibility, program capacity, and locations where each program is offered. Once the program profile is entered, it is a snap to update, by adding services or locations, or deleting ones that no longer apply. Program profiles should be updated three times per year – for fall, spring, & summer. (Once one program profile is completed, a YSM Supervisor can "copy" the program profile, and a program manager can just edit that copy rather than start from scratch with a new program.) YSM Program Managers should download the Quick Reference Guide for YSM Program Managers for step by step instructions. - Other organization staff can Register as a New Member. Once approved by their YSM Supervisor, they can search the system, view reports, and post events on the community calendar.
